Settings

You can edit the settings for each service by clicking on ‘Edit' under ‘Settings' at a service on the service overview. The settings are changed by ticking (the feature is activated) or unticking (the feature is disabled) the box at the setting you want to change. Subsequently, click on 'Update' located at the bottom of the page.

By opening the tabs, you can see and change all settings in the chosen category. If it is about a class/course, you will also be able to access a category concerning this. See Class/course settings for more information.


Under 'General settings' you can change the following general settings for the service:

  • Cash register – Item No.: If you have purchased the Cash Register Add-On, you can enter an item number for the service, which makes it possible to pay for the service via the cash register system. When you have entered an item number, new spaces will appear (as shown in the screenshot). Set here, whether the service is an active item, change the name and price of it, add an alternative price text, and/or go to additional item settings.
  • Form: If you have purchased the Questionnaire Add-On, you can add forms to the service. Choose whether it should be a specific form or if the customer should be able to choose between several forms. See more about how to create new forms, or see the Questionnaire Add-On for more information.Here you can also put a tick in 'Finish form without booking' and thereby let your customers fill out the form even though they do not book an appointment. The forms are then available on the customer profile under 'Customer forms' and can be edited by you. 
  • Description: Enter a description of the service. This description can be inserted in confirmation and reminder e-mails using the insertion code [SERVICEDESCRIPTION].
  • Long description of service: By ticking this box, you can insert a long service description that will be shown in online booking as a ‘Read more'-button, which will appear when the customer has chosen this service. When the customer presses the button, a window containing the long service description will pop up. Edit the content of the long service description by clicking on ‘Edit long description of service', which will transfer you to a page, containing a text editor in which you can enter the actual description. The text editor works the same way as Microsoft Word. Remember to click on ‘Update' when you have changed the text.
  • Waiting list: Activate a waiting list for the service:
    • At 'Period' you can determine the period that should be chosen by default when a customer signs up for the waiting list (e.g. your opening hours). The customer can change the period, but you choose the period that is chosen by default.
    • At 'Days' you can determine the period that should be chosen by default when you sign up for the waiting list. The customer can change the period.
    • At 'E-mail' you can enter an e-mail address to which an e-mail will be sent when a customer signs up for the waiting list.
  • Voucher required: If you have purchased the Gift Voucher Add-On, you can determine that the service only is available for booking if the customer has a valid subscription or voucher. If the box 'Show 'add voucher' space' is ticked, the customer can enter a voucher code if a voucher is not already registered on the customer. See the Gift Voucher Add-On for more information.
  • Date selector start date: Determine when the date selector in online booking should start. Consequently, the date selector will start from the month you choose and not the current month. Besides activating the feature, you must choose the month and year at which you want the date selector to start. Please note that although the date selector is set to start at a particular month in the future, the customer can still view earlier months, using the arrows. Therefore, if working hours have been created, the customer can still book the service although the date selector is set to start in the future.
  • Skip choose time: If this is chosen, the customer will not be able to choose the time of the service, but will automatically be assigned the first time of the day.
  • Show period: Determine how the duration of the service should be shown in quick book and online booking. By default, both the start and finish time of the service is shown, but you can choose to show the start time only if you do not want your customers to see when the service is done. You can also choose to show a text instead of a time period (this is rarely used, as it is not possible to see when the booking starts in quick book and online booking).
  • Move start time: Move the start time displayed to the customer, e.g. if you need time for transportation before a booking.
  • Service additions: Choose whether the service should have its own service additions or whether the service should subscribe to another service's service additions. By default, the service is set to have unique service additions, but you can in the drop-down menu choose to use the service additions of another service. If you choose to subscribe to the service additions of another service, it is no longer possible to make changes in the service additions of this service only - all changes must be made on the service to which the service additions belong.
  • Auto-active new calendars?: Determine whether the service should automatically be active on newly created calendars. This feature is activated by default if the service was set to be offered on all calendars when it was created. If you chose to add the service manually, this feature is not be activated by default.
  • Colours daily/weekly calendar: Determine whether the service should have a special background colour on the calendar views by clicking the icon with the coloured squares. This feature could be relevant if the service requires extra attention, e.g. because it requires more preparation.
  • Colours service selector: Choose whether the service should have a special background colour in the service selector, shown in both quick book and online booking. Click on the icon with the coloured squares to choose. Be aware not to choose too dark a colour, as the name of the service can become difficult or impossible to read.
  • Own time settings: Determine whether the service should have its own time settings for days forwards, plus days, cancel days and edit time. Please note that you can also edit the time settings under General Settings (valid for all services) and under Customer groups (valid for the specific customer group). If you change the time settings for the specific service, these will be the final settings, thereby overruling any time settings under general settings and customer group.

Remember to click on ‘Update' to save any changes!


Please note! If you have created your services as service additions, it can be problematic to subscribe to the service additions of another service. If so, customers can book the same service twice in one booking – as a main service and as a service addition. This double-booking often happens by mistake without being the customer's intention.


Under 'Time settings' you can change the following general time settings for the service:

  • Optimise space: Activate optimisation of space in your calendar, which enables booking of short duration services without restricting the ability to book services of a longer duration. You need to determine the following:
    • Whether the feature should be active in quick book and/or online booking.
    • How much time should be available before this service can normally be booked
    • A time interval in which the regular booking restriction does not apply.
    • How many hours before booking the regular booking restriction should apply. By default, this is set to 24 hours. This means that if there are less than 24 hours to the customer's desired execution of the service, the customer can make the booking with no restrictions, since the likelihood of long duration services being booked at such short notice is perceived to be small. If the customer books one or more service additions in addition to the service, the regular settings will become effective.
  • Insert break: Insert a break in the service. This feature can be used if there is a break in the service in which you want the calendar to be available for other bookings. This could be relevant, e.g., if you are a hairdresser, who wants to serve other customers, while a customer sits with hair dye in his/her hair for e.g. 45 minutes. Besides activating the feature, you need to set, in terms of 5-minute intervals, how many minutes after the start of the service that the break should be and how many minutes the break should last. In the above scenario, the break should start after e.g. 30 minutes and last 45 minutes.

Remember to click on ‘Update' to save any changes!


Under 'Advanced time settings' you can activate advanced time settings for the service, which enable you to determine exactly when the service can and cannot be booked. You have the following options:

  • Activate: Tick the box to activate the advanced time settings. More spaces will now appear as shown in the above picture.
  • What do you want? Here you have two options:
    - The advanced time setting 'I want to close specific times for this service' enables you to create periods in which the service is unavailable for booking and thus cannot be booked. You create new closed times for the specific service by pressing the blue button 'Create new closed time'.
    - If you choose 'I want to open specific times for this service, and close all others' you open specific times for this service. In this situation the entire calendar has been closed by default, but this advanced time setting enables you to create periods in which the service is available for booking and thus CAN be booked in calendars in which the service is active and have active working hours. Finally, press 'Update' to make the changes. 

Please note! The advanced time settings are secondary to the settings and working hours of the calendar. A service can therefore never be booked in a calendar, if it is not activated in the calendar and/or the calendar does not have working hours in the time period.


Under 'Notifications' you can change the following notification settings for the service, i.e. settings, concerning the e-mails and SMSes that you send.

  • E-mail: Enter one or multiple e-mail addresses to which you want to receive an e-mail when the service is booked or cancelled. If multiple recipients of the e-mail are wanted, you must separate the e-mail addresses with a comma (,). Remember to activate which e-mails you want to receive.
  • Send e-mail at booking: Activate reception of e-mails, when this service is booked. By ticking the box ‘Include service description', the short service description is included in the e-mail.
  • Send e-mail at cancellation: Activate reception of e-mails, when this service is cancelled. By ticking the box ‘Include service description', the short service description is included in the e-mail.
  • Deactivate SMS reminder: Deactivate SMS reminders for the service.
  • Deactivate e-mail reminder: Deactivate e-mail reminders for the service.
