Guides - Back-end: iCal

Back-end: iCal

Calendar - Subscribe to iCal

  • iCal – Only date and time: You can determine whether the iCal feature should include date and time of bookings only and not e.g. which service has been booked. See the guide iCal feature for more information.
  • iCal manual input: If this space is ticked, a text box will appear in which you yourself can decide all the content that should be transfered to your iCal calendar. You can add text as well as substitution codes to this text box. When this feature is activated iCal will then use the content from this box rather than the normal content, to describe the booking. When you choose this, the spaces below will disappear and the ticks made in the boxes under this feature will, when this feature is activated, become insignificant and thus have no influence on the content. This feature overrules all other spaces, so to speak. See the substitution codes used to insert information about a customer and a specific booking here.
  • iCal - Status: By activating this box you can get the status of your bookings transferred to your iCal. This means that if, for example a booking is changed, deleted or the customer did not show up, that information will be included in your iCal.
  • iCal - BES: If this space is ticked, booking extra spaces will be included in the iCal feature.
  • iCal - RFS: If this space is ticked, record fixed spaces will be included in the iCal feature.

Customer - iCal link in mail after booking

  • iCal - Link in email: By activating this feature you will be able to send e-mails to your customers that include a link to a calendar invitation. This means that when your customers press the link, they will be able to add their appointment to their respective calendars.
You also have the opportunity to add texts and substitution codes to three textboxes.

  • The textbox ‘Location on invite page and calendar invite' enables you to add a location to the invite page and calendar invite. If you do not wish to add a location, leave the box empty.
  • The textbox ‘Text on calendar-invite page' refers to the text that will be shown on the calendar invite page.
  • The textbox ‘Text in calendar invitation' refers to the text that will be shown in google calendar, yahoo calendar, outlook calendar and ical. The calendar invitation works for both desktop and mobile versions.

You write the text you wish to appear in the mail and create the link under: ‘Settings' -> ‘Texts' -> ‘Online booking – SMS / E-mail' -> ‘Confirmation e-mail' or ‘Booking changed'.

In order to create the link, you need to write the text you wish should appear, e.g. 'Add to calendar'. Hereafter you need to make this text a hyperlink, by marking the text and go to settings for hyperlink. Here the ‘Protocol' must be <other> and the substitution code [CALVINVLINK] should be inserted as the URL.

The customers will see the information about the service booked, as well as have the opportunity to choose which type of calendar they wish to add their appointment to. Please note! If you insert the link in the mail for 'booking changed', the previous booking will not automatically be deleted, the customers must do so themselves.

Resource - subscribe to iCal

iCal - manual input: In the two text spaces here, 'Headline' and 'Description', you yourself can decide all the content that should describe your resources and the information that should be attatched to this. You can add text as well as substitution codes to this text box.
