Back-end: General

Under 'General' you can change settings that affect the administration part of the booking system generally. The settings are changed by ticking (the feature is activated) or unticking (the feature is disabled) the box opposite the setting you want to change. Afterwards, press ‘Update' located at the bottom of the page.

You have the following options:

  • Calendar login restrictive: You have the option of making the calendar login, you can add to each calendar, more restrictive. If you activate this restrictive login, the calendar login has access to the customers in the customer group, the calendar is attached to, only, the login cannot edit working hours, and it only has limited access to change the settings of the calendar. For more information about this calendar login see Settings.
  • Calendar groups: You can activate the use of calendar groups which gives you the option of dividing your calendars into groups. If you have created many calendars, this can provide you with a better overview of your calendars. By default, the use of calendar groups is not activated.
  • Service groups: You can activate the use of service groups which gives you the option of dividing your services into groups. If you offer many services, this can provide your customers with a better overview of your services. By default, the use of service groups is not activated.
  • Opening hours weeks – default chosen: You can determine whether all newly created working hours are active automatically. If this feature is activated, all newly created working hours will be operative in all weeks (Unless the working hours are period restricted – if so, the working hours are operative in the chosen period only). You must then deselect the weeks you do not want the working hours to be operative in. If the feature is disabled, all newly created working hours will have no operative weeks. You must then select the weeks in which the working hours should be operative – Even if the working hours are period restricted. The feature is activated by default, i.e. all newly created working hours are active automatically.
  • Activate work types: You have the option of activating the use of work types. Please note that the use of work types requires the purchase of the Cash Register Add-On (See the guide Cash Register Add-On for more information).
  • Appointment card: You have the option of activating an appointment card feature. This feature enables you to print an appointment card for your customers that can be used as a reminder of the booked appointment (See Appointment card for more information). When you have activated the feature by ticking the box, additional spaces will appear (as shown in the screen shot). By ticking the box opposite 'Print all appointments', all of the customer's active reservations will be included on the appointment card and not just the booking from which the appointment card is printed. In addition, you can write the texts that are shown at the top (text top), middle (text appointment), and bottom (text bottom) of the appointment card. For instance, the top text could be ‘Remember your appointment' and the bottom text could be ‘If you should be otherwise detained, please contact us in order to cancel your appointment at XX XX XX XX'. As a general rule, the appointment text itself should not be changed.
  • Automatic rebooking reminder: You have the option of activating an automatic rebooking reminder feature. This feature enables you to send automatic rebooking reminders to customers who need a treatment regularly (See Automatic rebooking reminder for more information).
  • Newsletter - update all customers: You have the option of updating all customers to a particular newsletter status. You can choose to update all as 'Yes please' or as 'No thank you'. By choosing one of these, your customers' newsletter status will be updated so that all customers either receive newsletters or not. Please note that the use of newsletters requires the purchase of the Marketing Add-On (See the guide Marketing Add-On for more information]. You must be very careful when using this feature! The feature has been developed in order to deal with a particular situation, that is, when the Marketing Add-On is activated after customers have been created in the customer database. If you use the feature at another time, your customers' newsletter settings are deleted. You thereby risk having disgruntled customers who receive newsletters even though they have chosen not to do so.
  • Intelligent customer search: You can determine whether the customer should use the intelligent customer search. If this feature is activated, the customer search spaces located around the booking system will search more broadly, and it is therefore easier to find the customer you are looking for.
  • Specific booking - Edit BES: You can determine whether it should be possible to edit the booking extra spaces the customer filled out when (s)he made the booking. If the feature is activated, it will be possible to edit the spaces on the specific booking.
  • Activate service links: Here you have the opportunity to activate direct links to a specific service, e.g. a specific class or course. For more information see the settings for Service links.
  • Specific booking - Mark completed: Here you have the opportunity to complete an ongoing booking before it is finished. The feature will appear as “Mark booking completed” on the specific ongoing booking. The feature will shorten the booking and change the end time to “now”. This change will also appear in the log (see Specific booking for more information). This feature is per default not activated.
  • Holiday-/Closed: You here have the opportunity to set up the system to add working hours to the calendar (recommended) or bookings to the calendar every single day, when you under ‘Settings' -> ‘Holiday / Closed' choose to close for a period. We recommend ‘Close with working hours', as it will make it easier for you to delete or make changes. Please note! If you choose ‘Close with working hours', this will be valid regardless of what is selected under Work types under the cash register.
  • Out of service: You here have the opportunity to set up the system to add working hours to the calendar (recommended) or bookings to the calendar every single day, when you take a calendar out of service. We recommend ‘Close with working hours', as it will make it easier for you to delete existing booking or move them to a different calendar. Please note! If you choose ‘Close with working hours', this will be valid regardless of what is selected under Work types under the cash register.

Remember to press ‘Update' in order to save any changes!
